These Terms & Conditions govern access to and use of the Sarawak Urban Forum 2.0 (“SUF 2.0”) website, registration platform, participant services and related event facilities. By accessing the website, submitting a registration, making a payment, registering participants on behalf of an organisation, or otherwise using SUF 2.0 services, you acknowledge that you have read, understood and agreed to these Terms & Conditions.

1. Event Information

Sarawak Urban Forum 2.0 is scheduled to be held from 24 to 27 October 2026 at Hikmah Exchange Event Centre (HEEC), Kuching, Sarawak. The Organiser reserves the right to amend the programme, speakers, session times, venues, activities, programme arrangements or other event details where reasonably necessary.

2. Registration

Participants are responsible for ensuring that all information submitted during registration is complete, accurate and current. Registration may be subject to successful payment, seat availability, session capacity, eligibility requirements, invitation-only conditions or other requirements specified by the Organiser. A registration is considered confirmed only when an official confirmation is issued by the SUF 2.0 registration system and, where payment is required, the applicable payment has been successfully received and verified.

3. Accuracy of Information

Participants must provide accurate information including, where applicable, their name, contact details, organisation, designation and identification details. Participants should promptly update any material changes through the participant portal or by contacting the SUF 2.0 Secretariat.

4. Duplicate Registrations

Participants should avoid submitting multiple registrations using the same identity, email address or participant details. Where duplicate or conflicting registrations are identified, the Organiser may verify, cancel or consolidate duplicate records where appropriate.

5. Group / Corporate Registration

An organisation or coordinator may register multiple participants through the group or corporate registration facility where available. The group coordinator is responsible for ensuring delegate information is accurate, delegate details are completed within any required deadline, payment obligations are completed and delegates are informed of relevant event requirements.

6. Registration Fees and Payment

Where a registration fee applies, payment must be made using a payment method made available through the SUF 2.0 registration platform. A payment transaction that is pending, rejected, cancelled, failed or otherwise incomplete does not constitute successful payment. An official receipt will be issued following successful payment and transaction confirmation.

Important: All paid registrations are final. Once payment has been successfully completed and confirmed, the registration cannot be cancelled and the registration fee is non-refundable.

7. Payment Records

The Organiser may retain transaction references, order numbers, receipt numbers and payment confirmation information for event administration, reconciliation and audit purposes.

8. Cancellation and Refund

All paid registrations are final. Once payment has been successfully completed and confirmed, the registration cannot be cancelled and the registration fee is non-refundable. A failure to attend, change of plans, no-show or inability to participate in a particular programme activity does not entitle the participant to a refund. Any verified duplicate payment or payment-processing error may be reviewed separately by the Organiser.

9. Programme and Session Availability

Some sessions or activities may have limited capacity, restricted eligibility, invitation-only access, waiting lists or separate registration requirements. Registration for SUF 2.0 does not automatically guarantee participation in every optional or limited-capacity activity.

10. Participant Conduct

Participants are expected to behave professionally, respectfully and appropriately towards other participants, speakers, organisers, venue personnel, partners and members of the public. The Organiser may refuse admission to, or remove from the event, any participant whose conduct is considered unsafe, abusive, disruptive, unlawful or materially detrimental to the event.

11. Identification, Event Passes and Admission

Participants may be required to present a registration confirmation, QR code, event pass, identification document or other verification information before admission. Event passes and registration credentials are intended for the registered participant and must not be transferred or misused unless an authorised participant substitution has been approved.

12. Photography, Video and Media

Photography, video recording, livestreaming and other media activities may take place during SUF 2.0. By attending the event, participants acknowledge that they may appear incidentally in event photographs or recordings used for legitimate event-related purposes including documentation, reporting, publicity, promotional materials and archival purposes.

13. Personal Data and Privacy

Personal information submitted through the SUF 2.0 website and registration platform will be handled in accordance with the applicable SUF 2.0 Privacy Notice. Participants should review the Privacy Notice before submitting a registration.

14. Electronic Communications

By registering for SUF 2.0, participants agree to receive administrative and operational communications related to the event using the contact details provided during registration. Communications may be sent through email, WhatsApp, SMS or other official channels used by the Organiser.

15. Website and Registration Platform Availability

The Organiser will make reasonable efforts to maintain the availability and accuracy of the SUF 2.0 website and registration platform. However, uninterrupted, secure or error-free availability cannot be guaranteed at all times.

16. External Links

The SUF 2.0 website may contain links to third-party websites or services. The Organiser does not control such external websites and is not responsible for their availability, content, privacy practices, security, products or services.

17. Intellectual Property

Unless otherwise stated, content published on the SUF 2.0 website is owned by or used with permission of the Organiser or the relevant rights holder and may not be copied, reproduced, modified, distributed or commercially exploited without appropriate permission, except where permitted by law.

18. Limitation of Liability

To the extent permitted by applicable law, the Organiser shall not be responsible for indirect, incidental, consequential or special losses arising from use of or inability to use the SUF 2.0 website or registration platform, third-party systems or services, transportation disruption, venue-related interruption or other circumstances beyond the Organiser’s reasonable control.

19. Force Majeure and Event Disruption

The Organiser may postpone, relocate, modify, suspend or cancel all or part of SUF 2.0 where reasonably necessary due to circumstances beyond its reasonable control. Where the event is postponed, rescheduled, relocated or cancelled, the Organiser will determine and communicate the applicable arrangements to registered participants.

20. Changes to These Terms

The Organiser may update these Terms & Conditions from time to time where reasonably necessary. The latest version will be published on the official SUF 2.0 website.

21. Severability

If any provision of these Terms & Conditions is determined to be invalid, unlawful or unenforceable, that provision shall be treated separately without affecting the validity or enforceability of the remaining provisions.

22. Governing Law

These Terms & Conditions shall be governed by the applicable laws of Malaysia. Any dispute relating to these Terms & Conditions shall be subject to the jurisdiction of the courts of Malaysia, unless otherwise required by applicable law.
