Depending on the type of registration and participation, we may collect information including full name, nationality, MyKad or passport details, passport expiry date where applicable, email address, mobile number, organisation, organisation type, designation, postal address, state and country, registration type, selected sessions, group registration information, payment status, order and receipt numbers, payment references, attendance records, event pass or QR-code information and communications with the SUF 2.0 Secretariat.

2. Information Relating to Payments

Where payment is made online, payment processing may be performed through an authorised third-party payment gateway. SUF 2.0 may receive and retain payment status, amount paid, order number, receipt number, biller references, transaction reference and payment date. The SUF 2.0 registration system is not intended to store online banking passwords, card security credentials or other confidential authentication information used directly with the payment provider.

3. How We Use Personal Information

Personal information may be used for registration processing, participant eligibility, group administration, payment reconciliation, receipt issuance, programme and session allocation, waiting lists, participant passes, attendance verification, communications, operational notices, enquiries, event security, reporting, audit, duplicate-registration checks and other purposes reasonably required to administer SUF 2.0.

4. Group / Corporate Registrations

Where a group coordinator registers delegates on behalf of an organisation, the coordinator should ensure that the information provided is accurate, delegates are aware that their information is being provided to SUF 2.0 and delegates are informed of this Privacy Notice where appropriate.

5. Communications

We may use the email address and mobile number supplied during registration to communicate registration confirmations, payment notifications, receipts, programme updates, session reminders, event-day information and other important operational notices. Communications may be sent through email, WhatsApp, SMS or other official channels adopted by the Organiser.

6. WhatsApp Communications

Where WhatsApp is used, your mobile number and relevant message information may be processed through the WhatsApp communication service and technical services used by the Organiser to deliver those messages. WhatsApp communications will generally be limited to matters reasonably connected with your registration or participation in SUF 2.0.

7. Session, Attendance and Event Records

The Organiser may maintain records relating to selected sessions, optional activities, waiting-list status, admission, check-in, attendance, event passes and participation status for event operations, capacity management, reporting, security and administrative purposes.

8. Photography and Media

Photography, video recording, livestreaming and other media activities may take place during SUF 2.0. Participants may appear incidentally in event photographs or recordings used for legitimate event-related purposes such as documentation, event reporting, publicity, promotional materials, official publications and archival records.

9. Disclosure of Personal Information

Personal information may be disclosed where reasonably necessary to authorised Organiser personnel, the SUF 2.0 Secretariat, Finance personnel, event administrators, venue or event operations personnel, technical service providers, hosting providers, email and communications service providers, payment service providers, contractors supporting the event and authorities where disclosure is required or authorised.

10. Service Providers

The SUF 2.0 website and registration platform may rely on third-party services for website hosting, email delivery, online payments, WhatsApp communications, system security, backups and technical support. Such providers may process information as necessary to provide their services.

11. Protection of Personal Information

Reasonable administrative, technical and organisational measures may be used to protect personal information against unauthorised access, disclosure, accidental loss, misuse, alteration and destruction. No website or electronic system can guarantee absolute security.

12. Participant Portal and Registration Access

Where participants are provided with a participant portal, registration-management link, recovery link or similar facility, such access should be treated as confidential and should not knowingly be shared with unauthorised persons.

Participants should ensure that personal information supplied during registration remains accurate and current. Information may be updated through the participant portal where available or by contacting the SUF 2.0 Secretariat.

Personal information will be retained for as long as reasonably necessary for event administration, payment and financial reconciliation, audit, reporting, dispute resolution, security and applicable record-keeping requirements. Information that is no longer required should be securely deleted, anonymised or otherwise handled in accordance with applicable retention requirements and organisational policies.

Subject to applicable requirements and reasonable verification, participants may contact the SUF 2.0 Secretariat regarding access to personal information associated with their registration, correction of inaccurate information or clarification of how their information is being used.

Where processing depends on a participant's consent, a participant may contact the Organiser regarding withdrawal of that consent where applicable. Certain information may remain necessary to administer an active registration or meet administrative, financial, legal or security requirements.
